Die kurze Antwort:

  • Ja, wenn es um klassische Terminabfragen bzw. -umfragen , Eventplanungen und allgemeine Abstimmungen geht 
  • Nein, wenn es um die Terminfindung (insbesondere 1:1) mit gegenseitigem Kalenderabgleich oder auch um persönliche Buchungsseiten geht
 

Doodle hat zweifellos seine Stärken

Es ist ein weit verbreitetes, professionelles Tool und für viele Menschen eine vertraute und verlässliche Option. Es ist bzw. war einfach zu bedienen und erfordert(e) keine Registrierung.

Die größte Stärke liegt sicherlich im Bereich der Kalenderintegration sowie der Buchungsseiten. 

 

Nachteile von doodle 

 

  • Doodle speichert die Daten auf Servern außerhalb der EU, was in Bezug auf Datenschutzbedenken in vielen Bereichen problematisch sein kann.
  • Massive Werbung in der kostenlosen Version – zum Datenschutz können/wollen wir nichts sagen.
  • Seit kurzem sind nahezu alle sinnvollen Einstellungen (z.B. Deadline setzen, verdeckte Umfragen, Automatische Erinnerung und Max Anzahl Antworten) nur noch mit der PRO Version zu erhalten. Das geht soweit, dass Admins ihre eignen gegebenen Antworten nur noch mit der PRO Version ändern können.

Somit ist die kostenlose Version von doodle aktuell (April 2023) für die meisten sinnvollen Einsätze im Grunde schwer zu gebrauchen. 

Denn wenn der Datenschutz keine grosse Rolle spielt und man “nur” ein paar Häkchen von ein paar Leuten abholen will, könnte man dies wahrscheinlich auch in WhatsApp machen oder andere kostenlose einfache Tools verwenden.

 

kulibri Vorteile

Mit kulibri lassen sich Terminumfragen und Einladungen z.B. mit personalisierten Hintergrundbildern versehen und To-Do-Listen erstellen, um Events besser zu organisieren. Dies trägt dazu bei, die Terminfindung oder Eventplanung schneller, einfacher und auch etwas persönlicher zu machen.

Neben diesen Vorteilen bietet kulibri auch eine breite Palette an Funktionen im Standardmodell, d.h. kostenfrei.

Im Gegensatz zu Doodle werden die Daten von kulibri auf Servern in Deutschland gespeichert, was für viele Nutzer ein wichtiges Datenschutzkriterium darstellt.

 

Insgesamt bietet kulibri eine attraktive Alternative für diejenigen, die auf der Suche nach einem zuverlässigen und sicheren Terminplanungstool sind, sich für gelegentliche Einsätze keine Premium Mitgliedschaft leisten können/wollen und sich keine  Sorgen über Werbung und Datenschutz machen wollen.

 

 

Abschließend sei angemerkt, dass wir die Firma doodle und ihre Pionierarbeit in unserem Marktumfeld sehr schätzen. Wir denken aber,  dass sich Vision, Strategie und letztlich auch das Wertesystem mittlerweile deutlich unterscheiden.

The classic event invitation

The date for an event has already been set. The organizer simply wants to know who can come and how many guests they will bring.
For example: birthdays, christmas parties, summer festivals, general parties, etc.

Project Type:
Event Invitation

Typical Settings:

  • Open or hidden, depending on the goal (open usually brings more participants)
  • Set answer deadline
  • Comments “on”
  • ALWAYS with own background image

Availability checks of all kinds

The dates for a series of events have already been set. The organizer wants to know who can or wants to come on which dates.
For example: course planing, training plans, shift schedules, deployment plans, etc.

Project Type:
Usually date polls

Typical Settings:

  • Not hidden
  • No deadline, as these polls often remain “open”
  • Usually with a max limit on the “yes” responses, as the required or allowed number of people is limited
  • Do not automatically mark empty responses as “no”
  • Comments “on”
  • Usually, sub-administrators are also designated

A group of people is looking for a date/time that suits most.

Appointment planning

The dates for a series have already been set. The organizer wants to distribute them to a group of people as easily as possible.
For example: appointments with parents in school or child care

Project Type:
Usually a date poll

Typical Settings:

  • Hidden (privacy)
  • No deadline as these polls stay “open” for a while
  • Max limit of “yes” set to 1, as only one person can come per appointment
  • Participants can only choose one option as “on” since each person only gets one appointment.
  • Comments “on” (only visible to admins in this case)
  • Almost always with own background

Date poll / Text poll or Invitation?

Ultimately, all 3 types of kulibri polls are about asking your participants for answers.

  • With the date poll, you ask for specific dates and possibly times, and maybe an additional detail, such as:
      • Option 1: 6/18/23; 6:00 PM – 10:00 PM; Frankfurt
      • Option 2: 6/25/23; 4:00 PM – 8:00 PM; Munich

That is, the survey is highly structured, with fixed times provided.

New features for admins who use kulibri in a (semi-) professional way and/or very regularly

We decided to go with the well-known “freemium” model – without advertising – as our business model.

That means:

  • The majority of the functions will continue to be free of charge and without advertising for all users.
  • Some functions will only be made available to admins with “Premium User” status, who will have to sign up for a paid annual membership (subscription). These are mostly features that are useful or necessary for special or very intense  use.

New Feature: Sub-Administration

Many of our users use kulibri to organize repetitive queries in larger groups.
However, since the admins are often volunteers or work shifts, they cannot always be available themselves.  Organizational bottlenecks then sometimes occur.
To be able to distribute this work on more shoulders, we now offer the admins the possibility to make participants sub-admins, and this in the most simple way possible.

New Feature: Automated reminders

If you often use kulibri for planning tasks, it may happen that you to remind the participants of a poll or event to respond before the deadline or the upcoming next option.
Now there is an option for admins to define automated reminders per project.

New module: Tasks / ToDo Lists

Many of our users use kulibri to plan events of any kind. For this purpose, event invitations, date surveys or text surveys are used.

When it comes to events in known groups, the kulibri comments or accompanying WhatsApp / Signal groups are often used to distribute tasks that need to be done at the event.
Alternatively, there are the well known  tear-off notes on the bulletin boards of schools/nurseries/clubs and companies etc.

A job/task list for a kindergarten summer party could e.g. look like this:

  • 5 x set up
  • 1 x grill
  • 20 x bring food
  • 5 x clean up
  • 2 x do shopping
  • 3 x appetizers
  • 1 x dessert

Often the options in polls are used to better coordinate predetermined processes, which corresponds to kind of a “shift planning” as for example with:

  • fire department drills
  • choir planning
  • orchestra or band planning
  • all sorts of group sports planning (football / soccer / hockey / etc)

In most of these cases, certain tasks/activities have to be done once or several times by one or more people at the event. The main task of the organizers is to make sure that all tasks are distributed.

This is exactly where the new kulibri module “Jobs / Todos” comes in:

Admins can define multiple tasks to be done by the group of participants in addition to each poll/event invitation.

Custom logos and designs

Many kulibri users use kulibri in a professional or semi-professional way.
In those cases the requirment for custom logos, that fit well into the project page, always comes up.

In order to support this requirement, the following features are now available:

  • Upload of own logos
  • Manage own links behind the logo
  • Adjust the logo size
  • Adjust the header background color and font color
  • Adjust transparency for dark or light mode

Copying contacts from other projects

Many of our users have long contact lists and do not always invite everyone, but only a sub-set of their contacts to their projects.
And those sub-sets are basically always the same for the corresponding target group, or correspond to the last used participant list.
 
To minimize the effort for creating the invitations, admins can now copy contacts from their other (mostly last) projects with one click.

Up to 50 background images

Premium users can now upload up to 50 background images – the limit for standard registered users is 3.

Release notes 1.2.7  (May 31st 2023)

New features for all registered users

  • QR code for downloading and printing the participation link: As a printout on bulletin boards or similar, this helps a lot with the “marketing”/acceptance of invitations/surveys
  • Added detail view for answers in desktop mode: Analogous to the mobile view, there is now also the possibility in desktop mode to get a list of participants sorted by answers via an “info icon”.

Changes / improvements

  •  Detail view for an answer in mobile view: We now sort by answer, i.e. first all participants with “Yes”, then “No”, etc.

Release notes 1.2.5   (March 21st 2023)

New features for all registered users

  •  The “?” – answer for “I don’t know yet” is now optional, i.e. admins can decide for themselves if this makes sense for their case or not
  • Fill empty answers with “No”: Admins now have the option to decide this optionally as well. Until now, kulibri has always left empty replies empty as well. In many cases this makes sense. In other cases, however, it makes sense to interpret an “Empty” as a “No”.
  • Email invitations: There is now a “placeholder concept” for the individual link we send out. This way admins can now design their invitation texts completely freely and insert the link where it suits them best.

Changes / improvements

  •  When sending replies, there is now a “thank you message”: this increases the comfort level of some participants that your reply has actually been sent away
  • Overall reply process in mobile view simplified (replyable, checkboxes enlarged, “bubbles” removed for comments when replying, etc.)
  • Removed all links in preview in edit mode for admins. These links caused confusion for some admins, because they were correctly not clickable at that moment, but were displayed that way.
  • Comments have now been disabled in “reply mode”: Some participants had thought that the comment could also belong to the reply and entered a comment at the same time. This is now prevented.
  • Reply options (appointment or text fields) are now created by admins right in the first panel. Some new admins were not sure what to expect and therefore cancelled before they even entered options.

Fixed bugs

  • Comments were not displayed at all in hidden polls under certain conditions
  • In Thunderbird the admin links were sometimes not interpreted as links
  • In events, it was sometimes not possible to close the response pop-up when called again.
  • The process for “Max number of votes” was optimized. Before, it was theoretically possible to exceed the max number if 2 participants sent their answers at the same moment.

  • Sub-Administration: Admins can now make other participants “sub-admins” with one click and thus better distribute the administrative work for larger queries

  • Hidden mode: Comment notifications were sent to all users, not only admin
  • Navigation: „Hand display“ in links were missing
  • Invitation emails as not logged-in admin: Placeholders missing in message 
  • Admin name missing for comment author in not logged-in admin mode

Support of anonymous participants as an option for admins

In old kulibri, when using the general link, it was mandatory to provide an email address in order to participate in a vote/invitation.

Now admins have the option to make this optional for participants.

Using a setting in the invitations panel, admins can now specify whether entering the email is mandatory or optional for participants.

This approach gives our admins the ultimate flexibility depending on the objective of the vote.

When adding participants directly to the list via the plus sign, admins themselves can always decide whether to add participants with or without an email address.

In the display for the admins you can see this by the missing email addresses and the missing user icon.

The creation of date polls has changed a lot, for the better according to our test users. For a step by step walkthrough, click here. 

Start screen for admins

  • The admin view is now a WYSIWYG editor. I.e. while editing on the right side, you can see changes in real time on the left side.
  • The type selection is also done in WYSIWYG mode, so you can always see the differences between the types right away
  • Many new settings
    • “If need be” answers
    • Limited number of votes per option (first come first serve)
    • Only one option selectable (single choice)
    • Hide the comment area
    • Hidden mode (improved)

Editing of date options for admins

A lot has also been done in this area to provide more flexibility and convenience for our admins:

  • Times and free text can also be combined. This makes it very easy to map e.g. rooms, teams, etc.
  • Support of times and time zones (the old kulibri had interpreted these only as text)
  • With the new copy function you can now transfer repeating times/teams etc. with one click to all other days

The support for mobile devices is completely new.

It is primarily optimized for the easiest and most comfortable use by the participants.

Design

We’ve come up with a few things to make the experience for admins and the participants not as “dry” as you’re usually used to with appointment polls.

Admins can now:

  • Select background images from a library
  • Upload their own background images
  • Choose between dark and light mode – depending on what suits the selected background better.

In this way, very different representations can be created to visually emphasize the respective topic.

New comfort functions for the admins

To make our admins’ work even easier or to save even more time, we have introduced a few general improvements:

  • Project creation with WYSIWYG editor: no more guessing how the poll will finally look like. Admins can see what their poll will look like as they type it in
  • Copy polls and invitations
  • Add participants directly via the plus sign (with or without email address)
  • Export polls
  • Receive comments as admin only in hidden mode
  • Decide if users can or cannot see the results of hidden polls

Mobile version finally available

Now there is finally a mobile version available. Especially the participants have it much easier now to submit their answers.

Appointment polls and event invitations look slightly different.
